What this automation does

When a new employee starts, this automation creates a personalized onboarding checklist, sends scheduled tasks and reminders over their first 30 days, and provides an AI chatbot that answers common questions — benefits enrollment, IT setup, office logistics, company policies, and team introductions.

Onboarding is repetitive and time-consuming for HR teams. Every new hire asks the same 20 questions, needs the same 15 tasks completed, and follows the same schedule. AI handles the routine parts consistently, ensuring nothing falls through the cracks while freeing HR to focus on the human side of welcoming new team members.

Tools you need

  • Slack or Microsoft Teams: Where the AI chatbot lives and communicates with new hires
  • OpenAI API: Powers the FAQ chatbot and generates personalized onboarding messages ($0.02-0.05 per interaction)
  • Make or Zapier: Orchestrates the onboarding schedule, task assignments, and reminder sequences

How to set it up

Step 1: Document your onboarding process. List every task a new hire needs to complete in their first 30 days — IT setup, benefits enrollment, security training, team introductions, first 1:1 with manager, etc. Assign each task a due date (Day 1, Day 3, Week 1, Week 2, etc.) and an owner (new hire, HR, IT, manager).

Step 2: Create your knowledge base. Compile answers to the 30 most common questions new hires ask — where to find the benefits portal, how to request time off, what the dress code is, how to set up VPN, etc. Store this in a Google Doc or Notion page that the AI will reference.

Step 3: Set up the automation. When HR adds a new employee to a Google Sheet or your HRIS, trigger a Make scenario that: creates a Slack channel for the new hire, posts a welcome message with their Day 1 checklist, schedules task reminders for each milestone (Day 3, Week 1, etc.), and connects the AI chatbot to their DMs so they can ask questions anytime.

Step 4: Build the AI chatbot using the OpenAI API with your knowledge base as context. When the new hire messages with a question, the AI searches the knowledge base and responds. For questions it cannot answer, it flags the conversation for HR to respond manually. Track which questions the AI cannot answer and add those to the knowledge base monthly.

Frequently asked questions

Frame it as a helpful assistant, not a replacement for human connection. The AI handles logistics and FAQ — 'where do I find the benefits portal?' — while humans handle the relationship side — welcome lunches, 1:1s, team introductions. Most new hires actually prefer having an instant-response AI for routine questions rather than waiting for an HR rep to be available.

Set a monthly calendar reminder to review the AI's unanswered questions log. Add answers for new common questions and update any information that changed (new benefits provider, updated policies, etc.). Also update the knowledge base whenever company policies change. Most organizations spend 30 minutes per month on maintenance.
